Claude alone

You

Prep me for my 2:00 with Greg from Hillcrest Properties.

Claude

Your 2:00 with Greg Whitaker, Hillcrest Properties

Logistics

  • Zoom, 2:00 to 2:45 CT. Lena Ortiz set it up.
  • ⚠️ Lena said she'd send the Zoom link Monday afternoon, but I can't find it in your email. You may want to ask her for it (lena@hillcrestprops.example).

What Greg wants (his 9/24 email)

  • Mowing to start the first week of April 2027 at all six properties
  • He cares most about reliability: "I would rather know now if April is tight for you than find out in March."
  • You haven't replied to that email yet, so expect this to be the main topic.

Other April requests

Show full replyHide full reply
  • Parkside Church: The board wants to move its renewal to April and wants a revised scope in writing. You had that call at 10:00 today, and I don't have notes on how it went. If they're going with April, that's more demand on the same weeks.
  • Priya's April crew schedule: It's due Thursday, Oct 8. Your one-on-one with her is at 4:00 today, after Greg. She needs you to decide which crew covers which property, start dates and headcount. Her draft grid is in your shared folder.

Suggested approach

  • Since the crew plan won't be done until after this call, you could tell Greg April looks likely and that you'll confirm in writing by a set date (e.g., by Oct 8, when the schedule is due). He's asking for honesty up front, so that should go over well.
  • If you have time, check Priya's draft grid before 2:00 so you know whether six sites in week one is realistic.

Background

  • On 9/10 you sent him your insurance certificate: Hillcrest is listed as certificate holder for all six properties, with $2M general liability and current workers' comp. You offered same-day updates if his lender or attorney needs changes. Nothing open there.

Claude + Armbrain

Day 30, with a month of memory

You

Prep me for my 2:00 with Greg from Hillcrest Properties.

Claude

Prep for your 2:00 with Greg Whitaker, Hillcrest Properties

Who he is

  • Owner and decision-maker for all 6 properties. He signs contracts and handles anything about money.
  • Lena Ortiz does scheduling. Greg decides, Lena schedules.
  • He hates runarounds and poor communication more than bad news. He likes people who put things in writing.

Where things stand

  • You're on a one-year contract that started this spring. Greg reviews it every spring.
  • Crew C covers his properties, with Luis Herrera as lead.
  • He told you he's had 3 vendors in 4 years, so reliability is what he's watching.

The sore spot: missed visits

Show full replyHide full reply
  • On Sept 8 he brought up two missed visits in August, at Commons and Riverbend. No one called him about either one.
  • Your on-time rate dipped to 94% after another missed Tuesday at Hillcrest.
  • Priya still owes Lena a walkthrough of Hillcrest Commons after that miss. Check if it's booked before 2:00.
  • Your notes say to own it and honor the guarantee if he raises it. Since he dislikes runarounds, consider raising it yourself. Say what happened, what changed and when.

Open item you owe him

  • A revised mulch quote is due this Friday, Oct 2. It includes:
  • brown-dyed hardwood mulch from Tri-County
  • two new beds at Commons: a 60×4 ft strip by the leasing office and a 15×10 ft corner at the north entrance, with edging
  • shrubs as a separate option
  • You still need final pricing from Dale at Tri-County. Rough estimate is $9,400.

Opportunity

  • Hillcrest Ridge is his 40-unit property just over the county line. It may go out for bid in January or February 2027.
  • His current vendor there is weak. He'd rather use you if your reliability improves.
  • Don't push for it today. A clean fall at Commons is what gets you the first look.

Suggested flow

  1. Open with the guarantee: named crew lead, free return trip, same-day text reply.
  2. Own the misses and explain what you changed.
  3. Confirm the mulch quote arrives Friday, Oct 2.
  4. Briefly ask about the timing for Ridge.

Check before you go: the notes list different dates for the misses (March 15, July 15, "Oct 15") and use different crew names. One note even blames Greg for a miss. Don't quote a specific date or who was at fault unless you're sure.

What changed Claude found the calendar invite. Armbrain remembered the two missed visits.

4:45 PM, Checking what you owe people

Claude alone

What have I promised people that I haven’t done yet?

Claude

Promises you haven't done yet:

  1. Parkside Church, today at 10:00 AM. You told Pastor Dean you'd bring the current contract to the board call.
  2. Martha at Parkside. You said you'd send her a revised scope after today's call, with the April start the board wants.
  3. Janet's two invoices. You said you'd approve them by next Wednesday, Oct 7: Tri-County #4471 for $6,318 and Green Valley #2210 for $2,140. You wanted to check the Green Valley one against the Maple Grove controller work order first.
  4. Oakview HOA bid packet. You told Carol and Ray it would come closer to Oct 16. Their deadline is Friday, Oct 16.
Show full replyHide full reply
  1. Maple Grove fall cleanup. You confirmed it to Walt for Tuesday, Oct 20, starting 7:30 AM with Crew A. You also told Green Valley you wanted the controller fixed before then. I can't tell from your email whether it's fixed. The Green Valley invoice suggests work was done, but check.

Something changed: Dale moved today's mulch delivery to Friday, Oct 2. You'd told him Miguel would meet the truck at 7 AM today, so let Miguel know. You already gave up the Oct 7 backup date.

Not promises, but people are waiting on you:

  • Greg at Hillcrest asked on Sept 24 if all six properties can start mowing the first week of April. You haven't answered yet.
  • Shannon at Lakeview Dental wants to move her service day from Thursday to Tuesday.
  • Priya needs your decisions on the April crew schedule at your 4:00 PM meeting today. The schedule is due Oct 8.

Already done: Cedar Ridge proposal, Hillcrest insurance certificate, Marcus's HubSpot invite, Oakview price estimate, and your mulch date to Dale.

I only checked your email, not your calendar or texts.

Claude + Armbrain

Day 30, with a month of memory

You

What have I promised people that I haven’t done yet?

Claude

You have 6 open promises. One is overdue:

⚠️ Overdue

  • Oakview HOA references. You owe Carol Hensley 3 HOA references. This was due Fri 9/25 and is still pending.

Due this week

  • Parkside Church revised scope, due tomorrow (10/1). Lawn renewal moves to April, the east parking strip is added, and the price holds through June.
  • Hillcrest mulch quote, due Fri 10/2. Greg Whitaker wants brown-dyed mulch plus two extra beds at Hillcrest Commons.

Coming up

  • Janet's 2 invoices, due 10/7. Approve Tri-County #4471 ($6,318) and Green Valley #2210 ($2,140).
  • Sales price sheet, due 10/9. Final numbers for mulch, aeration and fall cleanup.
Show full replyHide full reply
  • Snow removal calls, due 10/15. Call each of the 9 accounts yourself to tell them you're dropping snow removal.

You also said you'd bring donuts if the team has to move to Saturday morning.

What others owe you

  • Priya: The Truck 4 inspection was due 9/25 and is overdue. She's waiting on parts from the shop. She also owes you the April crew plan by 10/8.
  • Miguel: Pruning numbers to Jess this week for the Oakview bid.
  • Marcus: Clean up the 19 junk HubSpot deals by tomorrow.

Want me to mark any of these done or move a due date?

What changed Promises made out loud don’t disappear anymore.

Draft a proposal intro for the Oakview HOA bid.

Claude

Here's a draft, based on your Sept 18 email to Carol and Ray:

---

Dear Carol, Ray, and the Oakview HOA Board,

Thank you for inviting Ruiz Landscape Co. to bid on grounds care for Oakview. We enjoyed talking with you, and we heard what matters most to you: knowing who is responsible for your property, and getting a quick answer when you need one.

This proposal covers weekly service for Oakview's 118 homes and about 14 acres of common area. It's built around three commitments:

  • One named crew lead. Miguel Torres, our Crew A lead, will be your contact. He'll know your property, and you can text him directly.
Show full replyHide full reply
  • Same-day replies. When you text Miguel, you'll hear back that day.
  • Free return trips. If we ever miss a visit, we'll come back at no charge.

The pages that follow cover the full scope, schedule, and firm pricing. We'd be glad to answer any questions before your board meets.

Sincerely, Dana Ruiz Owner, Ruiz Landscape Co.

---

Before you send:

  • Deadline: The board wants the written bid by Friday, Oct 16.
  • Price: I left the ~$148K/yr out of the intro. You told them it was a rough number that would change once you wrote the bid, so it belongs in the pricing section.
  • Miguel: Please confirm he can still lead Oakview. He's also the named lead at Maple Grove, and Priya's April crew assignments are due Oct 8.

Day 30, with a month of memory

You

Draft a proposal intro for the Oakview HOA bid.

Claude

Here's a draft in your voice. It opens with the guarantee, since that's what Carol said the board liked.

---

Dear Carol, Ray, and the Oakview HOA Board,

Thank you for asking us to bid on care for Oakview's common areas.

When we talked on September 15, you said what you've been missing is a real person who answers. That's how we work.

Our guarantee:

  • Oakview gets its own crew lead. [Miguel Torres] will run your property. Text him and you'll hear back the same day.
  • If we miss a scheduled visit, the return trip is free.
Show full replyHide full reply
  • If something goes wrong, we'll tell you first. We'll fix it and tell you what we changed.

This bid covers all 14 acres of common areas: mowing, bed care, trimming and pruning. The pages that follow list the scope, the schedule and the pricing line by line. It updates the rough overview we sent Ray on September 18.

We know you want this ready for the October board meeting. You'll have it by Friday, October 16.

Dana Ruiz Owner, Ruiz Landscape Co.

---

Before this goes out:

  • Crew lead: I put Miguel in brackets because he leads Crew A on your HOA accounts. Nothing I found says he's been assigned to Oakview, so please confirm.
  • Scope: The pruning pricing still depends on Miguel's numbers. Jess is about 40% through pricing overall. Change the scope line if anything moves.
  • Timing: One of your notes says about four weeks are left, but October 16 is 16 days away. The bid is already marked off track, so plan around 16 days.

What changed No more pasting your company background into every chat.

The setup behind this

What it took

Day one does not look like the right-hand column. It got there because Dana put in three things, and you would do the same.

  1. Connect email and calendar. Armbrain can then see who wrote to you and what is on your schedule.
  2. Connect a meeting recorder. Calls and meetings become notes it can search, from tools like Zoom, Granola, Fathom, Fireflies, Teams and Plaud.
  3. Use it daily for a month. Every meeting, email and document adds to what it remembers.

It is an investment. The first weeks are setup and habit, and what you build stays with your business.

Moment 4 of 10

9:20 AM, A question about the past

Claude alone

Email connected, no memory

You

Why did we stop offering snow removal?

Claude

I couldn't find anything in your email saying you stopped offering snow removal, or why.

The only related email is a quote request from Brian Nowak (GM, Nowak Auto Group) on Dec 4, 2025. He wanted per-visit and seasonal prices for 2026 snow removal on the roughly 2.5-acre lot at their Olathe dealership. I didn't find a reply to him in your sent mail. I also searched "snow," "plowing," "winter," and "salt," and nothing else came up.

If you stopped, the decision was probably made by phone, in person, or somewhere other than email. Your bookkeeper, insurance agent or crew lead might remember the reason.

Claude + Armbrain

Day 30, with a month of memory

You

Why did we stop offering snow removal?

Claude

You dropped snow because it barely made money and it was wearing out your crews. From the Sep 30 meeting:

  • Almost no profit. Snow brought in about $180K from 9 accounts, but insurance, salt, overtime and repairs ate nearly all of it. Last winter had 11 storms and several equipment breakdowns, and you ended up close to break-even.
  • Insurance jumped. Winter equipment coverage went from $19,000 to $26,800 (+41%). The agent said it was industry-wide, not because of any claims you made.
Show full replyHide full reply
  • Crew burnout. Two guys quit in February because they were exhausted, not over pay. One had been with you six years. The 2 AM call-outs were the main complaint.
  • Short on people. You're already four people short for summer, so staffing winter crews too wasn't realistic.

Jess wanted to keep it for January cash flow and suggested raising prices instead. Priya and Miguel wanted to stop, and you decided to stop.

What was agreed:

  • If a commercial client asks for snow work, you'll look at the numbers again. You won't do residential.
  • If customers ask for a referral, give them two vendor names, not one.
  • Jess's winter pruning package covers part of the lost revenue. Four commercial customers have already said they're interested.
  • You're calling all 9 accounts yourself by Oct 15. It's not public until then.
  • Miguel is finding out what the plows and spreaders would sell for.

Heads-up: Brian Nowak at Nowak Auto emailed last December asking for a 2026 snow quote for his 2.5-acre lot in Olathe. It's a commercial request, so it's the kind of job you said you'd reconsider.

What changed Your decisions keep their reasons.

Dana opens her inbox, her calendar and her sales tool. Then she asks Claude:

You

Summarize my unread email.

Claude

You have 12 unread emails. These need action:

  • Priya Shah: Your one-on-one is today at 4:00 PM, about the April crew schedule, which is due Oct 8. She needs three things from you: which crews cover which properties, start dates and headcount per crew. Her draft grid is in your shared folder, so look at it before the meeting.
  • Tri-County Supply (Dale): Today's mulch delivery is moved to Friday, Oct 2 in the morning because of rain delays at the quarry. Same load and price. If Friday doesn't work, call him.
Show full replyHide full reply
  • Lakeview Dental (Shannon): She wants to move their weekly service from Thursday to Tuesday as soon as you can. Thursdays are their busiest day, and the mowers make it hard for the front desk to hear the phones.
  • Calendar reminder: Crew Leads Meeting today, 8:30–9:15 AM, in the conference room.

These are just for your records:

  • FieldDesk: $389 paid (40 seats). Next bill is Oct 30.
  • PumpPass: Weekly fuel charges were $1,538.90 (412.6 gallons), due Oct 11. Any unusual charges are flagged in yellow in your account.
  • Home Depot: $168.28 for sprinkler heads, trimmer line and gloves.

These are sales pitches and newsletters:

  • Midwest Mower Parts: 20% off blades, belts and spindles through Oct 15 with code FALL20.
  • RouteWise: Wants to give you a 15-minute demo of their crew routing app.
  • RankBoost Media: A pushy "urgent" website-ranking pitch. I'd ignore it.
  • Chamber newsletter: Business After Hours is Oct 8. Fall Festival is Oct 10, and vendor spots are still open.
  • Green Industry Weekly: About 3 weeks left in the overseeding window, plus articles on keeping crews and battery mowers.

Draft the follow-up to this morning’s call with the Parkside Church board.

Claude

I couldn't find any notes or emails about what was decided on this morning's call. So this draft leaves blanks for the outcome. Before the call you told Martha you'd send a revised scope, so the draft is addressed to her, with Pastor Dean cc'd.

---

To: Martha Lindqvist Cc: Pastor Dean Okafor Subject: Following up on this morning's board call

Martha and Pastor Dean,

Thank you both, and the board, for your time this morning. I'm glad we could talk through the budget together.

To recap what we agreed:

  • Renewal timing: [April start / renew this fall / other]
  • Scope changes: [e.g., services added, removed or adjusted]
Show full replyHide full reply
  • Pricing: [new amount or "unchanged"]
  • Coverage until renewal: [e.g., current service continues through ___]

As promised, I've attached a revised scope that reflects these decisions so the board can review it in writing. Your crew lead stays the same.

If anything here doesn't match what the board understood, let me know and I'll fix it. Once the board approves, I'll send the renewal paperwork.

Thanks again. We appreciate working with Parkside.

Dana Ruiz Ruiz Landscape Co.

---

To finish it, I need to know:

  1. Did the board go with the April start?
  2. Were there any changes to the scope or price?
  3. Will the revised scope be attached, or should it come later?

Tell me and I'll fill in the blanks.

Hi [Name],

Thank you to you and the board for your time this morning. Here's what we agreed:

  • Start date: Service under the renewed contract starts in April.
  • East strip: [Added to the service area / other agreed change].
  • Pricing: We're keeping the current rate of $34,500 a year.

  2. East strip: My note only says "east strip." Tell me what you agreed and I'll fix that line.
  3. Price hold: I read it as keeping the $34.5K/yr rate. Correct me if the board agreed to something else.

I haven't sent anything. Do you want me to add a reminder for the Oct 1 scope deadline?

Monday 7:45 AM, Before the leadership meeting

The company runs on EOS, the Entrepreneurial Operating System (scorecard, rocks, issues). Dana preps the meeting:

You

Prep my Monday leadership meeting.

Claude

I couldn't find a Monday leadership meeting (Oct 5) in your email, so I don't know who's attending. This agenda is built from open items in your inbox. Today's calls with Parkside (10:00) and Hillcrest (2:00) may change a few of them.

1. April crew schedule (due to Priya Thu, Oct 8)

  • Priya needs you to decide which crews cover which properties, start dates and headcount per crew.
  • Greg Whitaker wants mowing to start the first week of April at all 6 Hillcrest sites. He'd rather hear now if that's tight.
  • Parkside wants to move its renewal to April. You promised them a revised scope after today's call.
Show full replyHide full reply
  • Is April capacity enough for both?

2. Sales pipeline

  • Oakview HOA: the bid is due Fri, Oct 16 (about $148K a year). You named Miguel and Crew A as their contact. Is Crew A overloaded?
  • Cedar Ridge ($11,800 aeration): Pam said she'd reply last week and hasn't. The work is supposed to happen in the first half of October, so someone should follow up.
  • Nowak Auto snow removal: Brian asked for a quote in Dec 2025, and I don't see a reply. Is it dropped, or do you want to quote it before snow season?
  • Marcus: how is his onboarding going, and is he logging leads in HubSpot?

3. Operations

  • Mulch: delivery moved from today to Fri, Oct 2. Check that this doesn't affect the start of fall jobs.
  • Maple Grove: fall cleanup is Tue, Oct 20, with Crew A ($22K). The irrigation controller has failed twice. Is it fixed or replaced yet?
  • Lakeview Dental: they want to move their service from Thursday to Tuesday. They haven't had an answer yet.

4. Money

  • You told Janet you'd approve two invoices by Wed, Oct 7: Tri-County ($6,318) and Green Valley ($2,140).
  • Before you approve Green Valley, check it against the Maple Grove work order, as you planned.

If you tell me who's attending, I can cut this down to their items.

Claude + Armbrain

Day 30, with a month of memory

You

Prep my Monday leadership meeting.

Claude

I've drafted the agenda for Monday, Oct 5 (90 minutes). Three things are off track: crew callbacks, hiring and the Oakview bid.

One thing first: Q3 ends today, so Monday is the first meeting of Q4. These rocks are still Q3's. Plan time to close them out, or start Q4 before Monday. I can do that if you want.

Scorecard

  • ❌ Crew callbacks: 3 against a goal of 2 or fewer (Miguel)
  • ✅ New leads: 13 against a goal of 12 (Jess)
  • ✅ On-time visits: 96% against a goal of 95% (Priya)

Rocks (2 on track, 3 not)

  • 🔴 Hire 6 crew members: 50%, 3 hired so far (Priya)
Show full replyHide full reply
  • 🔴 Win the Oakview HOA bid: 30% (you)
  • 🟡 New price sheet: 40% (Jess)
  • 🟢 Safety training: 90% (Tasha)
  • 🟢 Fall cleanup program: 80% (Miguel)

Issues to work through (60 min)

  1. Crew hiring pipeline is thin, which ties to the hiring rock
  2. Oakview has gone quiet since your Sep 18 pricing email
  3. Winter revenue gap now that snow removal is dropped (Jess's winter pruning package)
  4. Truck 4 grinding noise; the inspection is waiting on a part from the shop
  5. HubSpot data is messy (Marcus is cleaning it up)

Some of the blockers are on your to-do list:

  • Oakview: you still owe Carol the list of 3 HOA references. That may be why they've gone quiet.
  • Price sheet: the to-do for final numbers (mulch, aeration, fall cleanup) is yours, so Jess's rock may be waiting on you.
  • Other open items: calls to the 9 former snow removal accounts, approving Janet's two invoices ($6,318 + $2,140), the Hillcrest mulch quote and the Parkside revised scope.

Do you want me to send Carol the Oakview references or start Q4?

What changed Your operating rhythm, already filled in.

Claude

I can't send email, so here's a note you can forward to Marcus (marcus@ruizlandscape.example):

---

Subject: Catch-up on Hillcrest Properties

Marcus,

Here's where Hillcrest stands:

  • Contacts: Greg Whitaker is the decision-maker (greg@hillcrestprops.example). Lena Ortiz handles his scheduling (lena@hillcrestprops.example). Send anything you want Greg to see to Lena.
  • Account: We maintain six Hillcrest properties.
  • Insurance: On Sept 10 I sent Greg our certificate of insurance. It lists Hillcrest as certificate holder for all six sites, with $2M general liability and current workers comp. If his lender or attorney needs changes, our agent can update it the same day.
Show full replyHide full reply
  • Open request: On Sept 24 Greg asked whether we can start mowing at all six sites the first week of April 2027. He cares most about reliability. He wants to hear now if April is tight, not in March.
  • Call today: Greg and I have a 45-minute Zoom today, Sept 30, at 2:00 PM Central. His April question is the main topic.
  • Our side: Priya is building the April crew schedule, which is due Oct 8. Hillcrest's start dates need to go into it.

After today's call I'll tell you what we agreed to. From here on, please log all Hillcrest contact in HubSpot.

Dana

---

Things to check before you send:

  • I didn't find a reply from you to Greg's April question, or the Zoom link Lena said she'd send. Check that you have the link before 2:00.
  • If you want Marcus on today's call, change the last paragraph and forward him the link.
  • Your 4:00 meeting with Priya covers the April schedule, so that's a good time to confirm what you promise Greg.

Catch up Marcus, our new account manager, on Hillcrest Properties.

Claude

I couldn't open a separate Hillcrest file, so this comes from your company notes. Here's a brief you can forward to Marcus:

---

Hillcrest Properties: catch-up for Marcus

The account

  • Our biggest property-management client: 6 properties, a mix of apartments and small commercial.
  • We started with them last spring on a one-year contract. Greg reviews it every spring.
  • Crew C (Luis Herrera) does the work. Priya Shah manages the account until you take over.

Who's who

Show full replyHide full reply
  • Greg Whitaker makes the decisions and handles contracts and money. He's the one who gets the call when something goes wrong. Bad communication and runarounds bother him more than bad news. He likes people who write everything down.
  • Lena Ortiz handles scheduling: dates, gate codes, who's coming. "Greg decides, Lena schedules."

What's happening now

  • Missed visit at Hillcrest Commons: a Tuesday service (mow, edging, lot cleanup) was skipped because the route sheet was wrong. Lena called twice, and Greg noticed. Luis sent 3 crew members today. Priya is calling Lena back to confirm the work and explain the fix.
  • Mulch quote: Greg wants brown-dyed hardwood mulch (Tri-County Supply) and two new beds at Commons:
  • A strip by the leasing office, about 60' × 4', currently gravel
  • A corner bed at the north entrance, about 15' × 10', bare since the honey locust came out
  • Both get edging and shrubs; shrub details are still open.
  • Dana owes Greg the revised quote by Fri, Oct 2. The estimate is about $9,400, with a target close of Oct 30.
  • Spring 2027: On 9/24 Greg asked if we can start mowing at all 6 sites the first week of April. He'd rather hear now if that's tight.

The big prize

  • Hillcrest Ridge is Greg's second property, a 40-unit complex just over the county line, worth about $61K/yr. It's likely going out for bid in Q1 2027. He's unhappy with his current vendor there and would rather give it to us if we prove we're reliable. Clean service at Commons gets us first look.

Your next steps

  • Sit in on an upcoming Hillcrest call.
  • Walk the properties with Priya. She's also writing down what she knows about the account that isn't in the notes yet.
  • Dana will decide in a few weeks when you're ready to take over.

---

Three things to sort out before you send:

  1. Missed visit: one note says you'll bring it up with Greg yourself on next Tuesday's call. Another says you won't raise it and will only take responsibility if he does. Which is it?
  2. Marcus on calls: one note has him on the 2 PM call listening for the first 10 minutes. Another says he'll skip the first call and join the second, so he doesn't walk into a tense one. Which is it?
  3. April start: I don't see a reply to Greg's 9/24 email. Has anyone answered him?

Which open deals need my attention this week?

Claude

I went through your email, but I can't see HubSpot, so these are only the deals that show up in email threads.

Today (Wed 9/30)

  1. Parkside Church renewal, board call at 10:00 AM. The board wants to move the renewal to April, when their budget resets. You told Martha you'd send a revised scope after the call, so that's due from you next.

  1. Hillcrest Properties (6 sites), Zoom with Greg at 2:00 PM. He wants mowing to start the first week of April at all six sites, and he cares most about reliability. I don't see a reply from you to his 9/24 email, so be ready to commit or tell him about any limits on the call.
  2. Your 4:00 PM with Priya. The April crew schedule is due Oct 8. Parkside and Hillcrest both want April, so what you decide today affects her crew assignments and headcount.

Follow up this week

  1. Cedar Ridge Apartments, $11,800 aeration and overseeding. You sent the proposal 9/21. On 9/22 Pam said she'd review it with her regional manager "this week" and hasn't gotten back to you. She's also getting another bid, and the work is planned for the first half of October, so it's worth a call.

Coming up

  1. Oakview HOA, about $148K/yr. You sent a rough price, and the written bid is due Fri Oct 16.

Possibly dropped

  1. Nowak Auto Group snow removal (2.5-acre lot). Brian asked for a quote in December 2025 and I don't see a reply. It's probably stale, but snow season is coming, so it may be worth reaching out.

Which open deals need my attention this week?

Claude

Two deals need you this week, and a third is worth a quick look:

1. Parkside Church, $34.5K/yr. The revised scope is due tomorrow (Oct 1). It needs to include the terms the board agreed to on today's call: an April start, the east strip, and no price increase.

2. Oakview HOA, $148K/yr. They've gone quiet. You haven't heard from them in 12 days, since you sent rough pricing on Sep 18. The formal bid packet is due Oct 16. This is your biggest deal, so check in with them this week so the packet doesn't go in blind.

3. Cedar Ridge Apartments, $11.8K. Optional check-in. The proposal went out Sep 21 and your notes say it's on schedule. A short nudge could still help.

No action needed:

  • Maple Grove, $22K: Crew A is confirmed for Oct 20. The deal is still marked "negotiation," so you may want to mark it won.
  • Hillcrest Ridge, $61K: It isn't expected to go out for bid until Q1 2027.

None of these deals has a next step or date in your pipeline. Want me to add them, or mark Maple Grove as won?

What got done this week, and what slipped?

Claude

It's been a light week so far. Most of it went to setting things up, and the calls are all today.

Done

  • Maple Grove: You confirmed fall cleanup with Walt for Tue Oct 20, 7:30 AM, with Crew A and Miguel. It's the $22K scope.
  • Parkside: You answered Martha about the April renewal and confirmed today's 10:00 board call with Pastor Dean.
  • Mulch: You booked delivery for today and released the Oct 7 backup window.
  • Paid: FieldDesk ($389, charged automatically) and a Home Depot run ($168.28).

Slipped

Show full replyHide full reply
  • Mulch delivery moved to Fri Oct 2. Dale emailed late last night because rain has the quarry behind. Miguel was supposed to meet the truck at 7 AM today, so make sure he knows. The Oct 7 backup window is gone, so Friday is your only date.
  • Tri-County invoice #4471 ($6,318): You expected it to match the mulch order, but the mulch hasn't arrived. I'd hold off approving it until Friday's delivery shows up.

Still open

  • Today:
  • 8:30 Crew Leads
  • 10:00 Parkside board call. Bring the contract.
  • 2:00 Greg at Hillcrest on Zoom
  • 4:00 Priya one-on-one. Look at her draft grid before you meet.
  • Revised scope to Martha: you promised it after today's call.
  • Two invoices for Janet: you said you'd approve them by Wed Oct 7. First check the Green Valley invoice ($2,140) against the Maple Grove controller work order.
  • April crew schedule, due Thu Oct 8: Priya needs your crew assignments, start dates and headcount for each crew.
  • Lakeview Dental: Shannon wants to move their service day from Thursday to Tuesday. You haven't replied.

The rest is sales pitches and newsletters. None of it needs a reply.

You

What got done this week, and what slipped?

Claude

Here's your week so far (Mon–Wed):

✅ Done

  • Crew safety training is finished. Tasha's task is marked complete. One older note still says 4 of 6 sessions, so confirm the sign-in sheets are filed.
  • Fall cleanup schedule is published for all three crews (Priya).
  • Priya walked Hillcrest Commons with Lena after the missed service.
  • Maple Grove cleanup is confirmed with Walt: Oct 20, Crew A, Miguel leading.
  • Meetings: Monday leadership weekly and today's 10 AM Parkside board call.

⚠️ Slipped

  • Oakview HOA references are 5 days late (due 9/25). Carol's formal bid is due Oct 16, so this is your most visible overdue item.
Show full replyHide full reply
  • Truck 4 inspection is 5 days late (Priya). The shop is still waiting on parts.
  • Mulch delivery moved from today to Fri Oct 2. Dale says the quarry lost two days to rain. Same load, same price.
  • Last week's scorecard: on-time visits were 92% vs. a 95% target, and new leads were 11 vs. 12. Callbacks hit target.

🔜 Due soon

  • Tomorrow: Parkside revised scope (April start, east parking strip, price held through June).
  • Fri: Hillcrest mulch quote to Greg. You need Dale's brown-dyed mulch price first.
  • Wed 10/7: Approve Janet's invoices. You wanted to check Green Valley's against the Maple Grove work order first.
  • Fri 10/9: New price sheet. It's at risk while you wait on Tri-County's real mulch number.
  • Cedar Ridge ($11.8K): No word from Pam since 9/22, and aeration needs to happen by mid-October.

I can't tell whether Marcus cleaned up the 19 HubSpot deals. It's worth asking him.

What changed The week reviews itself.

Each business gets its own mind. Your data is not used to train models. You approve every email before it sends.

Start with your first day. See your own day 30.
