Armbrain vs custom GPTs

A custom GPT knows the files you upload, and OpenAI plans to retire custom GPTs. Armbrain collects each client's data and keeps it current. For fractional CMOs who built a GPT per client and need a next step.

Short answer: OpenAI says it plans to retire custom GPTs, with Enterprise retirement planned for December 11, 2026, and new GPT creation is not available on personal plans. Until then, a GPT knows the files you upload, up to 20, and you re-upload when things change. Armbrain connects to your tools once, then collects each client's meetings, email, calendar, files and CRM on its own, sorts them into that client's mind, and works overnight so your briefing is ready when you start.

Same Monday, two ways

You run six clients. Three have calls today. Here is how the morning goes.

With a custom GPT for each client

  • 7:40. Open the first client's GPT. Its knowledge is the files you uploaded at kickoff.
  • The plan changed on last Thursday's call. Edit the GPT and swap an old file for the call notes.
  • Paste in the new email threads so it knows what came in.
  • Ask what you promised this client last week. The GPT knows what is in its files.
  • Do it again for the second client. Then the third.
  • 8:55. Your first call starts in five minutes. Still on your list: move six GPTs before OpenAI retires them.

With Armbrain

  • Overnight, Armbrain pulled in last week's call transcripts, new email threads, calendar changes and updated files, and sorted each one under the right client.
  • 6:00. Your morning briefing is waiting in your inbox, Slack or HQ dashboard: today's meetings, what came in, and what needs you.
  • Two promises have gone past due. Your HQ dashboard puts them at the top of the list.
  • Ask for today's prep and all three calls come back in one brief: who is in the room, open promises, recent decisions.
  • Ask for Friday's follow-ups and get drafts in your voice to review.
  • 7:40. Coffee. Read. Done.

The briefing time is a default you can change. Briefing sections need the matching tool connected (email, Slack or calendar). Whole-day prep needs Google Calendar connected.

Who collects your client dataArmbrain does, after a one-time connection for each tool. Meetings: Granola, Fireflies, Fathom, Zoom, Teams. Email and files: Gmail, Outlook, Google Drive, Dropbox, OneDrive, Notion. Calendar: Google Calendar (through your Google sign-in) and Outlook. CRM and projects: HubSpot, GoHighLevel, Pipedrive, Asana, ClickUp and more. Marketing numbers: Google Analytics, Mailchimp, Klaviyo, ActiveCampaign. Keeping it currentEach tool is re-checked on a schedule, for example Gmail about every 7 minutes and Granola about every 15 minutes, so each client's brain updates itself as new meetings and email land.Re-upload files when something changes. Refreshing on its own: Not a stated feature on the pages we checked.
Sorting it by clientEach client gets its own mind. Email is routed to the right client within minutes. Notion pages go to the client you pick once. Anything Armbrain is unsure about waits in a review queue for you.Not a stated feature on the pages we checked. One GPT per client is yours to build.
Work done while you sleepWorks overnight so your briefing is ready when you start. It flags overdue commitments. Your morning briefing arrives on weekdays at 6:00 your time by default, plus an end-of-day wrap, a Friday scorecard and a Monday sprint kickoff. What you keep up by hand with custom GPTs

A custom GPT is easy to share. The upkeep is yours, and so is the move when it retires. From OpenAI's own help page:

Common questions

Are custom GPTs going away?

As of October 2026, OpenAI's help page says it plans to retire custom GPTs and recommends moving workflows to Plugins. Retirement for Enterprise workspaces is planned for December 11, 2026, and other plans are expected to follow. Check OpenAI for updates.

Can I still create a custom GPT?

Not on personal ChatGPT accounts, per OpenAI. Business, Enterprise and Edu workspaces can, when their settings allow it.

Does a custom GPT keep itself up to date?

No. It uses the files you upload, so you re-upload when things change. Armbrain collects meetings, email, calendar, files and CRM records on its own and keeps each client's memory current.

What about the instructions in my GPT?

Put each client's voice and rules in that client's brand book in Armbrain. Armbrain also suggests lines from your notes for you to confirm, edit or reject.

Is Armbrain a GPT?

No. Armbrain works inside Claude. ChatGPT access is a limited beta for now.

How long does Armbrain take to set up?

About 30 minutes to connect your tools. After that, Armbrain does the collecting.

Before your GPTs retire, you can move the client work to Armbrain. It works inside Claude and collects each client's data for you, so there are no files to re-upload. Setup takes about 30 minutes.
